How to connect SharePoint and move documents between SharePoint and Weave

This article shows you how to connect SharePoint to Weave, sync source files into your Data Room, and export drafted documents back to SharePoint. Use it when your team keeps source files or reviews drafts in SharePoint.

Note:
An organization admin sets up the connection using a Tenant ID, Client ID, and Client Secret. A program admin then selects the source folders for each program. If your connection is already set up, start with the source-sync or export steps below.

Connect your organization to SharePoint

1. Open the integration settings

Go to Manage organization → Integrations and open the SharePoint configuration.

01 — Open integration settings

Opening the SharePoint integration settings.

2. Enter your SharePoint credentials

Enter the Tenant ID, Client ID, and Client Secret supplied for your organization's SharePoint connection, then submit the configuration.

Weave checks both the credentials and the application's permissions. If you see an error, use the message to identify whether the credentials or permissions need correcting. Work with your Microsoft administrator to resolve it.

02 — Enter SharePoint credentials

Configuring the connection with your organization's credentials.

Note: If the client secret changes or expires, an organization admin can update the credentials here. Do not include credential values in screenshots or recordings.

Once your organization is connected, a program admin can choose which folders supply each program's source files.

Choose and sync your source folders

3. Select SharePoint folders for your program

Open the settings for a new or existing program. Browse the available SharePoint sites, document libraries, and nested folders, then select the folders you want to connect.

You can select more than one source folder for a program.

03 — Select SharePoint source folders

Choosing the SharePoint folders for your program.

4. Check the imported files in your Data Room

Open the program's Data Room and find SharePoint source files. Weave imports eligible files from the connected locations and preserves their folder structure.

04 — Check imported files in Data Room

Finding your SharePoint source files in the Data Room.

5. Sync when you need the latest files

Use the SharePoint sync control in the Data Room to bring in new or updated files before the next scheduled sync. Check the sync status when it finishes.

05 — Start SharePoint sync

Bringing in new or updated SharePoint files.

Note: Weave also syncs daily overnight. This is scheduled source-file syncing, not a continuous, real-time editing connection.

Your sources are now available in Weave. When you have a draft to share, export it to the SharePoint location your review team uses.

Export a draft to SharePoint

6. Open Export to SharePoint

Open your dossier document in the Editor. Open the … menu and select Export to SharePoint.

06 — Open Export to SharePoint

Starting a SharePoint export from the Editor.

7. Choose a destination folder

Browse or search the SharePoint locations available to your connected program, then select the destination folder.

07 — Choose destination folder

Choosing where to send the drafted document.

8. Select a stylesheet

Choose the stylesheet you want to apply to the exported document.

9. Confirm the export

Confirm the export. Weave sends a formatted .docx file to the selected SharePoint folder.

Note: The first export creates a new document at version 1. Exporting the same Weave document to the same folder again updates the existing SharePoint document to its next version.

10. Review the exported document

Open the document in SharePoint. Check that it is in the right folder and that its formatting, numbering, and references look as expected.

This workflow brings sources into Weave and sends drafts out as DOCX files. Do not assume that edits made to an exported draft in SharePoint automatically update the draft in Weave.

Troubleshoot the connection

  • Credentials or permissions are rejected: Follow the configuration error message and ask your Microsoft administrator to check the supplied credentials and application permissions.
  • A source update has not appeared yet: Run a manual sync rather than waiting for the overnight schedule. Check the selected source location and sync status.
  • Your client secret has expired: Ask an organization admin to update the credentials in Manage organization → Integrations.
  • You need another version of an exported draft: Export the same Weave document to the same SharePoint folder to update its version.

After resolving the issue, repeat the relevant sync or export step and check the result.
