How to attach finished PDF files to your dossier

This article shows you how to attach a finished PDF from your Data Room to a dossier without re-authoring it. Use it to organize study reports, certificates of analysis, or other finished documents alongside content drafted in Weave.

Note: Upload the finished PDF to your Data Room first. Only PDFs can be attached, and attached documents are read-only in the dossier. Attaching preserves the file as-is; it is different from importing editable content.

Important: Attached PDFs are not included by the current Publish dossier workflow. Plan separately for including these files in your final submission package.

Choose where to start

  • From the dossier: Attach a PDF to an existing document slot.
  • From the Data Room: Attach a PDF to an existing dossier document, or create a new dossier document for it.

Choose the route that fits your task. You do not need to complete both.

Attach a PDF from the dossier

1. Open the document's action menu

Find the document in your dossier and open its row action menu.

2. Select Attach data room file

Choose Attach data room file to open the Data Room file browser.

Opening the file browser to choose a finished PDF.

3. Choose your PDF

Browse or search the Data Room, select the PDF you want to attach, and confirm the attachment. The picker only includes PDFs and folders containing PDFs.

Note: You can attach a file to a document that already has authored content. While the attachment is in place, you see the PDF rather than edit that content. Detaching returns the document to its pre-attachment version and available actions.

After attaching, use the preview step below to check that you selected the right file. If you prefer to start from the source file, use the next route instead.

4. Select Attach to Dossier

Open the PDF's menu in the Data Room and choose Attach to Dossier.

Starting an attachment from the source file.

5. Choose the dossier

Select a dossier from the dropdown. Its structure appears so you can choose where the document belongs.

6. Select an existing document or a folder

To use an existing document slot, select that document and confirm the attachment.

To create a new document, select the destination folder, choose Add as new document, then enter the prefix and document name before confirming.

When the attachment succeeds, use Go to Dossier in the confirmation message to open the destination. Next, preview the PDF to check the result.

Preview or remove the attachment

7. Preview the attached document

Select View linked document to open the PDF preview. Check the file, version, and dossier location before moving on.

Attached documents are read-only. They cannot be edited in the Weave document editor. Once attached, the document can also be referenced in crosslinks; see How to use crosslinks in Weave.

8. Detach the PDF when needed

To remove the attachment, open the dossier document's row action menu and select Detach data room file. Review the confirmation before proceeding.

The document returns to its pre-attachment version and available actions. If you need to attach a different finished PDF, repeat the attachment workflow with that file.

Check attachments after Data Room changes

Changes to the source PDF can affect the attachment:

  • Replace the PDF: The connected dossier document becomes detached. Attach the replacement file if you want to use it in the dossier.
  • Delete the PDF: The connected dossier document becomes detached.
  • Split the PDF: The existing attachment stays connected to the first split file. Additional split files are added to the Data Room without being attached automatically.

Tip: After replacing, deleting, or splitting a source file, revisit the affected dossier documents and check their attachments. Do not assume every split or replacement file has been added to the dossier.

Before handing off your dossier, confirm that the attached PDFs are the intended files and account for them separately in your final publishing process.

Frequently asked questions

Q: What file types can be attached?

A: Only PDF files in the Data Room. Other file types are not selectable in the attachment picker.

Q: Can I edit an attached document?

A: Not in the Weave document editor. Detach it to return to the prior dossier document, or prepare a revised PDF and attach that file.

Q: Can I attach documents in bulk?

A: No. This release supports attaching documents individually.

Q: Is attaching the same as importing content?

A: No. Attaching connects the dossier document to a read-only Data Room PDF. Importing copies content into the dossier document for a separate authoring workflow.

Q: Can I attach the same PDF in more than one place?

A: Yes. You can manually attach a Data Room PDF to more than one dossier document.

Q: Are attached PDFs included when I publish a dossier?

A: No. The current publishing workflow does not include attached files. Account for them separately when assembling the final submission package.
